The Architectural and Archaeological Society of Durham and Northumberland (AASDN) is a charity to promote an appreciation of the architectural and archaeological heritage in our region, to bring together all those with similar interests in a range of informative, enjoyable and memorable activities, to promote the protection of the historic environment by engaging in local partnerships and also acting in an advisory capacity to local planning authorities and others. The Society was founded in 1861 and has, since that time, pursued an active programme of lectures, field trips and publications.

There are monthly meetings from September to June, with public lectures covering areas of local, regional and international interest. Most lectures take place in Durham, but the AGM in May is generally held elsewhere in the region and is combined with a trip to a site of particular interest to the Society. In December there is a Members Meeting, where individuals can talk about their own research interests and bring artefacts for identification and discussion. Excursions are organised in the summer.

The Society is an unincorporated charity managed by a group of trustees and we are committed to protecting the privacy of our members and supporters. This privacy statement sets out the way we collect, store and process your personal information in accordance with current UK data protection legislation (the Data Protection Act 1998 and the EU General Data Protection Regulation (GDPR)).

What is personal information?

We will collect personal information when you join as a member, make an enquiry or take part in our activities. Personal information is information that can be used to identify you. Examples of personal information include your name, title, postal address, email address and telephone numbers. It can also include personal information relating to processes including payment information (such as credit card or bank details), donations, information relating to volunteering, or social media interaction. We also record the type of membership you have and when you paid.
 

What is the legal basis for collecting your information?

The AASDN only collects personal information to enable us to carry out our legitimate interests, to enable us to fulfil our obligations to the membership and those who purchase items from us and to comply with legal requirements. The Architectural and Archaeological Society of Durham and Northumberland legitimate interests are:
* Fulfilling our duty to members and supporters.
* The sale and supply of services and products to our members and supporters.
* The promotion, marketing and advertising of our services and products.
* Working to improve and develop new and existing services and products.
* Fundraising and promotion of the interests of the charity.
* Improving understanding the needs of our members and supporters.
* Handling enquiries and complaints.
* Complying with legal requirements and regulations.
 

How do we use your personal information?

Your personal information will only be accessible to AASDN committee and authorised volunteers if it appropriate in order for them to perform their role. We may use your information in a variety of ways including:
* To process your membership of the AASDN.
* To send you information about the latest AASDN news, projects and events via print, e-newsletters and email.
* To send you governance information about the society.
* To update your information.
* To send you information about volunteering opportunities and fundraising.
* To provide information for the purposes of research or fundraising.
* To seek feedback in relation to events and services that AASDN provides.

We will not sell or pass on your personal information for other organisations to use for their own purposes.
We will share your information when we are legally obliged to at the request of a government or law enforcement authority.

We will only share your information, when necessary, with third party services or contractors we have asked to carry out a service on our behalf for purposes such as supervising organised activities, communications or research. Your information will not be used by a third party for any other purposes and will be deleted as soon as the service has been fulfilled. The information about members and the e-mail addresses of non-members and organizations who may be interested in our activities are kept on the personal computer of the Secretary and are used only to send information about the activities of the Society, details of events organized by local groups and other items of possible interest. The membership secretary also keeps information about members on a personal computer
 

Security

The AASDN take the security of our members and supporters personal information very seriously and take appropriate steps to ensure your data is securely stored. Only authorised personnel are able to access your personal information and all personal information is transferred using secure processes. Our processes and systems are regularly reviewed to ensure they remain secure. We only hold your personal information for as long as is necessary for us to administer our relationship with you. If we dispose of your information, it will always be done so securely
